A demo presented with (His Excellency Dr. Bakri bin Matouk Asas – theRector of Umm Al Qura University) in UQU campus in the district of Abdiah on the first phase of the implementation of the electronic archiving system (SmartDocArchief) and correspondence system (SmartCS).
The meeting was held in the presence of the UQU senior management including:
1) HE the Vice President, Dr. Yasser bin Sulaiman Shoushou
2) HE the Vice President for Graduate Studies & Scientific Research, Dr. Thamer bin Hamdan Al-Harbi
3) HE the Vice President for Academic Development &Community Service, Dr. Hani bin Othman Ghazi
4) HE the Vice President for Academic Affairs, Dr. Abdul-Aziz bin Rashad Srouji
5) HE the Vice President of the UQU Branches of Dr. Mohammed bin Wassil Al-Hazmi
6) HE Dean of Information Technology Dr. Fahad Al-Zahrani
7) HE the director of the Center Administrative Communications Mr. Omar Bazarah
8) The director of AAGroup Mr. Ali Malkawi.
During the meeting, HE the Rector listened to a detailed explanation from the (Dean of Information Technology Dr. Fahad Al-Zahrani) and the (Director of the Center Administrative Communications Mr. Omar Bazarah) about how SmartDocArchief and SmartCS can accomplish administrative transactions, archiving and preservation, as well as the required follow of the transactions since their issuance until completion. Also, HE the Rector was briefed on the procedural steps carried out by the Center for Administrative Communications to create discussion groups for employees in order to work on the program and introduce them to it with the help of the lead instructors provided by AAGroup.
HE the Rector confirmed the keen interest of the university administration to adapt and use modern technology to serve the employees of the university. He also noted this is a continuation of the effort carried out by UQU management to transform of the services provided by UQU from paper-based to electronic in order to speed the work procedures and add-positively to the accomplishment of the tasks entrusted to all sectors of the UQU facilities scientific, educational and administrative.
For his part, HE the Vice President, Dr. Yasser bin Sulaiman Shoushou explained that this first phase of implementation of the electronic archiving system (SmartDocArchief) and correspondence system (SmartCS) will increase awareness of the all UQU staff (administrators, professionals and technicians). Accordingly, this will help them to cope with the changes introduced by the UQU management towards institutional accreditation, which requires the interaction of all UQU sectors so in order to help UQU bear its responsibility for its mission of scientific, educational, and community. He also added that this program would stop wasting time, save on the quantities of paper in addition to achieving quality outcomes in the business,thus reducing the error rate gradually until it reaches zero.
